Russian Speaking Executive Assistant (Kettering) c.£45K p/a

GBR Recruitment Ltd are recruiting for an experienced EA (Executive Assistant) to the Managing Director & Board of Directors, to join a well established progressive business, with operations in the UK & Europe


This is a fantastic opportunity for a professional Executive Assistant / Personal Assistant who is Bi-lingual or Multilingual (fluent in Russian is a must, as well as 1 of the following; French, Italian or Spanish, due to the business dealing with global clients within a competitive market space.


The successful Executive Assistant / Personal Assistant will have worked in a comparable role previously with vast experience in supporting senior executives at director / managing director level, with an extremely high attention to detail when managing multiple varied administrative tasks & a broad spectrum of EA duties. 


As an experienced EA you will possess superb organisational, planning, project coordination / management skills, as well as the ability to manage multiple diaries & travel arrangements, communicating effectively & professionally at all levels within the organisation as well as with clients & suppliers at senior management / board & exec level.


You will have a professional confident telephone manner, strong interpersonal skills communicating effectively face to face & via email 


The EA Role:

  • Responsible for all Administrative & Personal duties on behalf of the MD / Directors 

  • Maintaining and providing full support to the MD & director’s daily schedules, undertaking full diary management on their behalf

  • Ensuring all meetings are set correctly & diarised, including the details of all attendees (including background information on the individuals) 

  • Preparing for all senior executive meetings including; typing up minutes, putting together presentations & any other relevant meeting material / documentation

  • Act as the first point of contact regarding any queries for the MD & directors as well as responding to all electronic or verbal communications on their behalf 

  • Liaise with all internal departments on behalf of the Managing Director / Directors 

  • Liaise with external suppliers, customers & clients effectively / efficiently 

  • Advise on all impending work deadlines, regarding internal and external commitments

  • Overseeing & being involved in specific Project Co-ordination / Project Management activities 

  • Monitoring company credit card spends and liaising with finance department on all expenditures / costs 

  • Coordinate & arrange travel, accommodation & all itineraries

  • Manage Director's expenses in line with company policy

  • Collate and report company statistics for Directors perusal

  • Arranging functions & events 

  • Accompanying the MD / Directors to exhibitions & trade shows (UK & Europe) will be required

What does the Ideal PA / Personal Assistant Look Like:

  • Time served experience in a comparable EX / PA role supporting Director / Executive level is essential for this position 

  • You will be fluent in Russian, as well as one other language; Spanish, Italian or French is a must have 

  • Previous experience of managing & synchronising multiple Directors diaries is required 

  • Project Management / Coordination experience is a requirement (supporting the Board with documentation / administrative tasks) 

  • Ability to maintain effective relationships with Chief Executives & Senior Managers is essential

  • Working to strict deadlines in a busy fast paced environment is essential

  • Ability to multi task with strong time management skills

  • Experience of minute taking at senior management / senior executive meetings (board meetings / operational meetings) 

  • Speed / shorthand typist skills would be beneficial but not essential 

  • Personable, professional mannerism, with the ability to network effectively & efficiently

  • Able to give constructive advice & guidance on personal matters 

  • Happy to undertake travel (UK & European several times a year)
